Exhibition & Sponsorship
The EMS Annual Meeting in Utrecht will bring together 800 scientists, forecasters, service providers, and users across the entire weather and climate enterprise – public, private, academic, users, and NGOs – in Europe and beyond. This get-together will provide a forum for fostering exchange and cross-fertilization, facilitating interactions, integration, and engagement of science, applications, and actors.
One third of the attendees are normally early career scientists.
Show-case your initiative or latest products
We offer exhibition opportunities for manufacturers, service providers, and others to promote their products, publications, and services to the community gathering in Utrecht at the EMS Annual Meeting. This is the perfect place to get in touch with actors and decision makers across the atmospheric, climate, and related communities.
Sponsorship opportunities
We still welcome interest in providing support by sponsoring, for example drinks at one of the poster sessions, a coffee break, or selected other events where people from all career stages engage in discussions, network, and share research. The location
The exhibition booths will be located in the central Transition Zone of the conference centre, together with poster boards and catering spots, in direct vicinity to all lecture rooms.

Sustainability & GHG emissions
In line with the EMS Sustainable meetings policy and Net Zero transition plan, the EMS is committed to reducing the Annual Meeting’s GHG emissions and environmental impact. We appreciate exhibitors’ support in this effort for example by prioritizing local & regional supplies, use of recycled material when possible, and keeping printed material to a minimum.
Practical information
The booths
Each 6 sqm booth consists of white panels and a front fascia board (at the long side of the booth), 1 rectangular table, 2 chairs, and 1 electric supply with 3 sockets. The price is €2,700 net; this includes two free conference registrations.

Shipping information
All exhibition shipments for EMS2026 will be handled by our official logistics partner, DSV. Should you have any questions regarding shipping arrangements, please contact DSV directly at fairs.utrecht@dsv.com.
Your goods should be shipped to the DSV warehouse, from where DSV will transport them directly to your exhibition booth at the venue.
To arrange your shipment, please fill out the following two documents:
- Order form
- Shipping label (Amsterdam)
Since the Utrecht warehouse is currently closed, please ship your goods to the Amsterdam warehouse (DSV / Ankerweg 18 – gate 103 / 1041AT Amsterdam).

Once completed, please send the order form to DSV via email. You do not need to fill out the payment section at the bottom of the form.
Based on the information provided in your order form, DSV will prepare and send you a customized quotation. After you approve the quotation, DSV will confirm your order and issue an invoice, including a payment link.
Payment needs to be completed before the event.
Important:
- Please only ship with the shipping label filled in and attached for the warehouse staff to clearly identify and assign the items.
- When shipping from outside of the European Union, please only ship your items on incoterm "DDP", also mentioned as "bill sender" to have duties and taxes invoiced to the shipper. DSV cannot accept shipments sent otherwise and that DSV cannot be held responsible for any duties and taxes occurring with client shipments.
- When shipping from outside of the European Union, you will need to mention an EU-EORI number for import taxes. Please note that we and DSV are unable to help with shipments stuck in customs, however DSV can support with providing agent contacts in your region.
- We recommend shipping your goods to DSV as early as possible, as this helps avoid late-arrival handling and allows sufficient time for processing and delivery to the event venue.
The deadline for shipping is 1 September 2026, earliest collection is possible from 13 September 2026.
